Stage, sound, lighting and tent rental in Calgary
We deliver stages, podiums, sound, lighting, screens and tents to events in Calgary. The City of Calgary publishes detailed rules for events on City land, and several of them affect what equipment you can use and how early you must plan. Here is a summary of what the City says.
Information from City and Environment Canada sources, checked October 2026. Rules change, so confirm with the City before you apply. This is planning information, not legal advice.

Permits for events on City land
- City of Calgary Event Services handles events on City-managed land. An online Festival and Event application is required for new events with alcohol, fireworks, tents or stages totalling over 600 sq ft, or use of roads and sidewalks.
- The City asks for at least 90 days’ notice, a registered legal entity in good standing and a City myID account.
- Smaller park or pathway events without those elements use a greenspace booking instead. Apply at least 30 days ahead; in the busy season from May to September, processing can take up to eight weeks.
- Published greenspace fees include $66.24 per day for a greenspace or pathway, plus a $26.25 admin fee and a $5.75 risk management fee.
- Insurance of at least $2 million commercial general liability naming the City is required, and $5 million for events on Stephen Avenue. The certificate is due 30 days before setup.

Tents, stages and structures
- A tent or a cluster of tents over 60 square metres (645 sq ft) needs a Building Permit, applied for at least 45 days ahead. Stages, scaffolding and bleachers may need one too.
- All tents, including pop-ups, must be certified to the CAN/ULC S109 fire standard. Open flame and propane are not allowed inside tents or canopies.
- Staking tents needs Parks approval and is not allowed on hard surfaces. In greenspace bookings, digging and staking are not allowed at all, and pathways need 3 metres of clearance.
- Every structure must appear on the site map with dimensions.
- Generators under 7 kW can be brought by the organizer if they are grounded and fenced, with a spill kit and on a protective surface. Larger power goes through Calgary Parks Electrical.

Noise and sound
- A noise exemption permit is required for event activity, including setup and takedown, between 10 p.m. and 7 a.m. Monday to Saturday, and between 10 p.m. and 9 a.m. on Sundays and holidays.
- Amplified sound is allowed only in some parks. Request it on the application, and the City decides if the location suits it.
- Music at events requires a SOCAN and/or Re:Sound licence.

Delivery and load-in rules
The City sets rules for vehicles on site, which matter for equipment delivery:
- Parks must approve vehicle access in advance. Vehicles may drop off and pick up equipment, then park off site.
- Load-in: hazard lights on, maximum 10 km/h, spotters, no idling over five minutes, and protective surfaces for heavy vehicles on turf.
- Road and lane closures must be on the route map, and road permit applications need at least 90 days’ notice.
- The City may ask for a production schedule that covers setup, the event and takedown.

Where events are held
City-listed places for events include Prince’s Island Park, which is reserved for large annual festivals, Olympic Plaza and the Municipal Complex Atrium and Plaza downtown, St. Patrick’s Island and East Village, and park pathways along the Bow River such as Shouldice Park and Edworthy Park. Each has its own booking rules. We list them as public information only; it does not mean we have worked at any of them.

A realistic timeline
- 90 days before: event application, or road permit if you need closures.
- 60 days before: request any City-supplied equipment you want (City requests are due 60 days ahead).
- 45 days before: building permit for large tents or stages.
- 30 days before: insurance certificate to the City, and your quote request to us with final details.
